How to Backup Outlook Emails & Other Important Items

How to Backup Outlook Emails, Contacts, and Calendar

1.) Launch Outlook email program on your computer and click on the “File” option located on the top-left corner.

2.) From the drop-down menu that appears on your screen, click on the Open & Export option and then on the Import/Export option. This will open the Import and Export Wizard on your screen.

3.) Now, in the Import and Export window, select the option – Export to a file and click on the Next button.

4.) Next, click on the Outlook Data File (.pst) and click on the Next button.

5.) Then, select the name of the email account you wish to export. When selecting the email account, make sure to also select the checkbox next to the option – Include subfolders. This way, all the items – Emails, Calendar, and Contacts will be moved.

6.) After that, click on the Next button and then on the Browse option. Select the location to save the Outlook Data File (.pst). Enter a file name and then click on the OK button.

NOTE: If you would have used export option earlier sometime, you will see the previous file name and location. Make sure to change the file name before click on the OK button.

7.) In case you are exporting to an existing Outlook data file, go to Options, make sure to specify what to do when exporting items that already exist in the file.

8.) Once you are done following the above steps, click on the Finish button. Outlook will start exporting at once, provided there is no new Outlook Data File (.pst) created or a password-protected file is used.

NOTE:

  • If you want, you can protect the file using an optional password. To create a password, you will need to enter the password when you see the “Create Outlook Data File” dialog box on your screen. After entering the password, click on the OK
  • In case you are exporting the file to an existing Outlook Data File (.pst) which is password protected, enter the password in the Outlook Data File Password dialog box and click on the OK

Once your Outlook Data File gets exported successfully to your computer, you can use it as a backup or move the data to another email account as per your preferences. So, this is how you can easily take backup of emails, contacts, and calendar in Outlook.com.
