Out of numerous useful features in Outlook, there is one feature that allows the users to send an email on a scheduled time. If you need to send an email at a particular time but you think that you may not be able to do that at that moment, fortunately, Outlook can help you with that. Outlook comes with a unique feature which allows you to delay the delivery of a particular email message or set a rule to delay the delivery of all the emails by storing them in the Outbox for a specific period of time. To know how you can schedule an email in Outlook, follow the step-by-step instructions provided below.

Steps to Schedule An Email in Outlook

1.) In your Outlook program, compose a message as you do normally. Once you are done composing the message, click on the More options arrow in the ribbon.

2.) Next, under Delivery options, you will need to select the checkbox next to Do not deliver before. You will be prompted to select the delivery date and time when you wish to send the email.

3.) Enter the delivery date and time in the provided fields and click on the Close button. Once you are done setting up the date and time, click on the Send button. The email will remain in the Outbox folder until the delivery time arrives.

In case you wish to send the email right away instead of the scheduled time, you will need to follow these steps:

1.) Go to the Outbox folder in your Outlook program and open the scheduled message.

2.) Click on the More options arrow in the Ribbon and go to Delivery Options.

3.) Under Delivery Options, deselect the checkbox next to Do not deliver before option and click on the Close button.

TO DELAY DELIVERY OF ALL MESSAGES

If you wish to delay the delivery of all the emails by up to two hours in your Outlook program, you will need to create a rule. Below you can find the instructions on how to create a rule for delaying delivery of all the emails.

1.) Click on the File tab in the Outlook program and select Manage Rules & Alerts. Next, click on the New Rule option.

2.) Then, in Select a template box, click on the Apply rule on message I send under Start from a Blank Rule. Then, click on the Next button.

3.) Next, select conditions(s) list, click the checkbox next to the options you wish to make changes in and click on the Next button.

NOTE: If you don’t select any checkboxes next to options, you will see a dialog box on your screen. If you will click on the Yes option, the rule you would be creating will be applied to all the messages you send in future.

4.) Then, in Select actions(s) list, you will need to select the checkbox next to defer delivery by a number of minutes option.

5.) In Edit the rule description box, you will need to click on the underlined phrase “a number of” and enter the number of minutes for which you want to store the emails in the Outbox before it is sent.

NOTE: You can delay the message up to 2 hours (120 minutes).

6.) After that, click on the OK button and then on the Next button. Select the check boxes for any exceptions that you wish to create.

7.) Then, click on the Next button. Get back to Step 1: Enter a relevant name for the rule in the “Specify a name for this rule” box.

8.) After that, select the checkbox next to Turn on this rule option and click on the Finish button.

Now, whenever you will click on the send button, every email in the Outbox folder will remain for the time specified by you in the rule.

FOR OFFICE 2007

DELAY THE DELIVERY FOR A SINGLE MESSAGE

1.) In the message, go to the Options tab, then to the More Options group to click on the Delay Delivery option.

2.) Next, click on the Message Options, go to the Delivery options and select the checkbox next to Do not deliver before option. Then, select the delivery date and time when you wish to send the message.

3.) After that, click on the Send button. The email will be scheduled for the delivery time chosen by you and will be held in the Outbox folder until then.

DELAY THE DELIVERY OF ALL MESSAGES

1.) On the Tools menu, click on Rules and Alerts option and then on the New Rule option.

2.) In Choose a template box, under Start from a Blank Rule, click on the Check messages after sending option and click on the Next button.

3.) In Select condition(s) list, choose any options which you wish to make changes in and click on the Next button.

NOTE: In case you don’t select any checkboxes, you will see a confirmation dialog box. If you click Yes in the box, the rule you are creating will be applied to all the emails that you send.

4.) In Select actions(s) list, select defer delivery by a number of minutes.

5.) In Edit the rule description box, you will need to click the underlined phrase “a number of” and enter the number of minutes for which you wish to hold the messages in the Outbox before sending.

NOTE: You can delay the emails up to 2 hours (120 minutes).

6.) Then, click on the OK button and then on the Next button. You can select any exceptions that you wish to set and click on the Next button.

7.) After that, get back to Specify a name for this rule box, enter a suitable title for the rule, select the checkbox next to Turn on this rule option.

8.) Finally, click on the Finish button.

Now, when you will send an email, it will remain in the Outbox folder for the period of time specified by you.
